What number/range of videos you would feel comforatable with before you take on a gig like the \"SUPERBOWL\". Reason for asking is that there is this huge event coming up and I have been approached by the organizers to come and play @ the after party. Persently I have in excess of 3000+ videos but I just want to get a feedback from my fellow VJ\'r s who has dealt with events of this magnitude, how the entertainment was executed, the constraints, etc...

Well my concern would be ---
Am I allowed to program my set to specific selection/style ?
- If Yes, do I have enough to play what I want?
- If Yes, but they are choosing the selection/style - then do I have enough to fit their needs?
- If Yes, but I need to be able to take requests within that selection/style - do I have enough ?
- If No, it will be a free for all and by request? Then 3000 may be a bit short.

Well that is a good question depending on what you have already collected in the 3000.
If you have ALL Hits from say Radio Top-40 and Rock, Euro Dance, Urban from say the 80s, 90s and Current - then you might be in Good Shape. Just make sure you definitely have What's HOT NOW - for the type of crowd OR what is being played in the clubs of your region. But if your collection leans heavy in any one genre, then you may need to look at how strong your other areas are in your collection.

Someone asked you to play........ Videos or just music ? Its not about how many videos you have or how many songs. Its about what you actually have. Ask the people that hired you, what kind of music they want to hear. I dj private parties for 1200 plus people every year. I play Hip Hop, reggae, R & b, latin music, house , freestyle, 80s, 90s, etc

The number of people doesn't matter, it is far easier to rock a crowd of 3000 than it is 30 because the crowd of 30 is still "waiting for the crowd" so they can start to party. The crowd of 3000 is usually ready to go simply from the scope of the event and the hype in the air will fuel whatever momentum you get going.
Regardless of the size of the crowd you'll play the same number of songs in the same amount of time (give or take depending on how long your mixes are and if you use songs just as samples or breaks or play the whole songs). On average you play 3 to 3-1/2 minutes per song, so that's a max of about 20 songs per hour, 80 songs in a 4 hour night.....40 of those are going to be the current and standard "greatest hits" for whatever genre(s) you are playing, the other 40 will be split between what you think the crowd wants and what direction (i.e. plausible requests) the crowd wants to go. IF you are playing like most hip hop and top 40 Djs these days you will be repeating the 10 hottest currents anyway so really you are only playing 70 different songs.
We aren't rocket scientists, we play music. I routinely played 4-5 hour parties on 3 crates of records (back in the old days when I played records) and had the crowd beggin to go longer...we are spoiled today with cheap hard drives and downloaded music. Sure now I carry over 10,000 songs and 3,000 videos, but I still only play what I think are the best 80 for that night's crowd.
Bottom line, if you are a good Dj and you know the proposed demographics of the crowd you can kick ass with less than 200 of the right videos....if you're a crappy Dj it won't matter how many videos you have.

I guess maybe you need some more detail from the organisers what kind of thing they're expecting. If you can pin down that then you should be able to work out if you've got the right sort of thing. (Although don't forget that the organisers can often get it wrong as well!)
Maybe the best approach would be to talk to the organisers and just work out exactly:
Who's there?
- Families? Business people/corporate groups? VIPs?
- Age ranges
- Mainly Male/Female?
What atmosphere are they trying to create?
-Sophisticated socialising (well dressed guests, cocktails, loud music- but not so loud you can't talk, maybe house music?)
-Nightclub party style (lots of drinking, dark venue with lasers and effects lights,etc, very loud music, the latest hits, etc.)
-Family Party (Lot's of standard party music that won't offend the grandma's, and doesn't have swearing in so you don't offend the kids)
I'm sure you get the idea. I just re-read DJ-e-lectric's post, like he said, it's all about the demographics, and the atmosphere they want to create. Then, do you have the video's that you think they'll want? 3000 is easily enough, if they're mostly tracks that you know go down well in a given situation. If you've got 2800 obscure videos that were never big hits, never get requested and you hardly ever use, and then only 200 that you tend to play or that get requested often, then maybe you need to re-think. Sounds like you're a pro though, and you just want to make sure you're gonna be able to do a good job. I'm sure you will; if you often play video parties/club sets,then I'm sure you're collection is varied enough. Just because it's bigger and a bit higher status than previous gigs, doesn't mean that all your previous experience goes out the window.
Also, is it the kind of thing where you could play a few tracks that didn't have videos if you thought it was what the party needed? (I've got an ambient video DVD ripped and in the VDJ Clipbank so that comes up everytime I play an mp3 track- looks very cool. I'm sure you've already got something like that figured out.) If the odd track with just ambient video didn't matter, it would take the pressure off you quite a bit I guess.
